Professional secretariat qualification or degree/diploma in any other relevant discipline from a recognized local/foreign institution
DUTIES AND RESPONSIBILITES
PERSONAL ASSISTANT (PA) TO DIRECTOR/CEO
To provide administrative services including calendar management, booking meetings, planning events, organizing travel and preparing travel itineraries, correspondence and prioritizing emails. Includes initiating contact and securing appointments.
Maintenance of confidential documents and files.
Monitor and respond to incoming communications to Director/CEO's office including phone calls, e-mails, ensuring correct department distribution.
Secretarial support for meetings as and when required by the Director/CEO. including drafting and circulating meeting agendas, preparing minutes, communicating meeting reminders, confirming venues and arranging refreshments.
Writing and distributing comprehensive minutes and action points to all members post meeting.
Drafting and writing high quality reports, letters and presentations, as required by the Director/CEO.
Manage the office environment and overseeing general maintenance of the office: with the support of the Office Assistant and Receptionist.
Provide support to the Director/CEO in the prioritization of her workload and responding appropriately and filtering requests on her behalf.
QUALIFICATIONS AND REQUIREMENTS
Professional secretariat qualification or degree/diploma in any other relevant discipline from a recognized local/foreign institution
Minimum 3 years' experience as Personal Assistant to similar role
Excellent interpersonal skills and proficiency in English - proficiency in other languages will be an added advantage.
Ability to prioritize and ensure smooth execution of tasks and strong attention to detail and accuracy
Maintain a high level of professionalism and confidentiality
